    Administrative Duties:
    • Serve as the main contact for Chamber inquires via phone, email, website, social media, etc.
    • Basic Bookkeeping and Accounting Support:
      • Maintain accurate records of accounts receivable for deposits, noting activities regarding all incoming and outgoing funds in preparation for bookkeeper
      • Process Accounts Payable to Quickbooks
      • Prepare and send invoices and packages for new and renewing members
      • Process all visa/debit transactions, prepare all invoices as required
      • Maintain copies of vendor contracts
      • Maintain financial records for the mandatory seven years and ensure secure storage
      • Supervise financial records and bookkeeping (through contracted bookkeeper).
      • Balance and prepare all bank deposits; weekly cash payments and credit card payments for deposit.
    • Prepare and sign all Certificates of Origin and other related items
    • Keeps records of Chamber Group Insurance Plan
    • Work with Chamber’s CRM database (ChamberMaster) to keep membership records up-to-date
    • Build and maintain Chamber contacts and membership lists
    • Maintain an organized filing system, including hard copy and electronic versions as appropriate for invoices, bills, meeting minutes, etc.
    • Keep informed of Chamber programs and benefit packages in order to answer general questions
    • Perform general office maintenance duties, including ordering and maintaining supplies, getting mail
    • Ensure Directors, Office Insurance and Liability coverage
    • Liaise with Chamber’s IT vendor and ensure up-to-date virus protection, security certificates and current software for all office computers
    • Update and maintain Chamber’s vendors and monthly cost tracking chart
    • Manage Board and Committee meeting schedule, reminders and attendance tracking
    • Assist Executive Director’s schedule by booking meetings
    Communications Duties:
    • Maintain social media platforms - share relevant, current, important info in a timely manner related to the Chamber and the local business community
    • Develop the Weekly/Bi-weekly Newsletter, send to all members
    • Develop event and membership support materials (flyers, brochures, banners, posters and signage)
    • Assist with website content updating and maintenance
    • Write media releases
    • Provide proofreading assistance
    Event Support:
    • Attend and represent the Chamber at all events to assist with ticket sales, registration, ticket reconciliation, setup, etc.
    • Track all event attendees and participants
    • Phone members regarding upcoming events
    • Fulfill contractual obligations relating to sponsors and event suppliers
    Provide support for Executive Director and team related to special projects and as needed
